Case Study: From Ad Hoc to Intentional: Transforming Donor Engagement with Data and Design

The Challenge

As a fast-growing international nonprofit expanded its high-net-worth donor base, its fundraising team needed a more structured, proactive approach to stewardship.

Existing efforts were inconsistent and reactive, limiting donor retention and team effectiveness.

Our Approach

We built a scalable stewardship framework within the organization’s CRM, integrating customized “task trees” that triggered timely outreach based on donor behavior.

 

In parallel, we developed a point-based system to help fundraisers plan and prioritize outreach, assigning strategic value to touchpoints like personalized emails, meetings, and solicitations.

The Outcome

The new system doubled donor meetings, reactivated previously lapsed donors, and drove higher gift values across portfolios. The points system gave teams the clarity and flexibility to focus on their most important relationships.

More importantly, it equipped staff with the tools and structure to work more intentionally, creating a consistent, data-informed stewardship culture.

Case Study: Building a High-Touch Principal Gifts Program for a Donor Collaborative

The Challenge

A donor collaborative advising high-net-worth individuals supporting U.S. nonprofits needed a clear strategy to manage increasing donor interest.

 

With limited internal systems and a lean team, they lacked a structured approach to stewardship, principal gift cultivation, and board-led fundraising. Senior leadership also had limited previous experience in front-line fundraising and principal gifts level fundraising.

Our Approach

We partnered with the CEO, board, and senior advisors to build individualized moves management strategies for their most significant donors. We developed portfolio-specific stewardship plans, set engagement benchmarks, and created tools to track and improve donor touchpoints.

 

We also helped design a highly curated donor summit to engage new and lapsed ultra-high-net-worth donors and funders to spark momentum.

The Outcome

The collaborative deepened relationships with key funders, activated new principal gift prospects, and significantly increased the frequency and quality of engagement. Senior leaders had more confidence in their fundraising engagements and the organizations had a renewed culture of philanthropy.
